Getting your full deposit back at the end of a tenancy is usually straightforward when the property is returned in good condition. This guide explains how deposit refunds work, what we check during inspections, and how tenants can maximise the chances of receiving their full deposit back.

Prepare Before You Move Out
Before moving out, tenants should refer to the inventory completed at the start of the tenancy. This document records the condition and cleanliness of the property when you moved in. If you do not have a copy, you can request one from our office.
The property should be returned in the same condition as when you moved in, allowing for fair wear and tear. Most deposit deductions occur when properties are left below the required cleaning standard.
- Clean the property to the same standard noted in the inventory
- Check your lease agreement for end-of-tenancy obligations
- Review the exit letter sent when notice is given
- Ensure all items listed in the inventory remain in the property
If the inventory states the property was professionally cleaned, we strongly recommend returning it to that same standard.
Checkout Inspection
We will inspect the property as soon as possible after you have moved out and returned the keys. Once keys have been returned, you will not normally be able to re-enter the property.
During the checkout inspection, the condition of the property is carefully compared to the original inventory. This includes checking cleanliness, condition, and ensuring all items remain in place.
We check all areas including:
- Walls, floors and carpets
- Kitchen appliances including oven and fridge
- Cupboards and storage areas
- Bathrooms and fittings
- Lighting and lampshades
- General cleanliness throughout

For example, if a sofa is damaged beyond repair, we assess its age and expected lifespan. If the sofa is relatively new, a partial deduction may be made to reflect the remaining value rather than charging full replacement cost.
Cleaning, however, is not considered wear and tear. Properties must be returned in a clean condition.

Before any deposit is refunded, we will discuss any proposed costs with you. We aim to be transparent, fair, and reasonable throughout the process.
If no issues are identified, your deposit can be returned quickly. If deductions are required, we will provide a breakdown explaining the costs.

Deposits are held securely with Safe Deposits Scotland. Once the tenancy ends and the inspection process is complete, we initiate the refund through the deposit scheme.
If both parties agree on any deductions, the deposit is returned promptly. If there is a dispute, Safe Deposits Scotland will review the evidence from both parties before making a final decision.
Evidence submitted may include:
- Check-in and check-out reports
- Before and after photos
- Contractor invoices
- Inventory documentation
