Property Inventories in Edinburgh
A clear, detailed property inventory is one of the most important safeguards you have as an Edinburgh landlord. At Pure Property Management, our property inventory reports give you an accurate, photo-backed record of your property’s condition from the very first day of a tenancy — so that if a dispute ever arises over a deposit, you have the evidence to support your claim.
Under the Tenancy Deposit Scheme legislation passed by the Scottish Parliament, letting agencies in Scotland must rigorously justify any end-of-tenancy deductions from a deposit. Without a proper inventory in place at the start of a tenancy, it’s almost impossible to prove what changed — and impossible to fairly separate normal wear and tear from genuine damage.
That’s why we treat inventories as one of the most important steps in managing your property, not paperwork to rush through.
What's Included in Your Property Inventory
Our inventories are compiled using dedicated inventory software and cover every part of your property, room by room. Each report includes:
- A full room-by-room condition check — from light fittings and flooring to cutlery and coffee tables, nothing is skipped.
- Detailed descriptions, including make and model where relevant, so items can be clearly identified later.
- Timestamped photographs of every item, not just a written description. A picture removes ambiguity — it’s often the difference between a successful deposit claim and a disputed one.
- Meter readings, recorded and logged at the point of check-in.
An inventory isn’t just a list. It’s a complete, dated record that protects both you and your tenant from disagreements later on
Check-In vs Check-Out Inventories
We carry out a full inventory at two key points in every tenancy:
- Check-in inventory — completed before the tenant moves in, establishing the baseline condition of the property.
- Check-out inventory — completed when the tenant moves out, compared directly against the check-in report to identify any changes beyond fair wear and tear.
Because both reports are compiled to the same detailed standard, comparing them is straightforward — which means faster, fairer resolutions if a deduction from the deposit is ever needed.
How Inventories Protect You in a Deposit Dispute
If a deposit dispute is raised with a Scottish tenancy deposit scheme, the burden of proof sits with the landlord or letting agent — not the tenant. A vague description or a handful of undated photos rarely holds up. A properly compiled, timestamped inventory does.
We get things right at the outset of every tenancy specifically to avoid costly, drawn-out disputes at the end of it. In the meantime, speak to your Pure Property Manager for advice on inventories, or to explore what options are available for your property right now.

Property Compliance Certificates
Alongside your inventory, every Scottish landlord needs to keep their compliance certificates up to date — including your Landlord Registration Number, EPC, Gas Safety Certificate, EICR, PAT testing and Legionella Risk Assessment. We manage all of this for you as part of our property management service.
